Technical Note: Documentation required for International shipping of used oil samples
Many clients ask the laboratory about documentation requirements for shipping used oil samples. This note is designed to serve as a guide for filling out the required documentation.
Used lubricating oil samples are not regulated by the IATA (International Air Transport
Association. However Please make sure to have:
- Sample bottles tightly sealed, and placed in sturdy shipping containers. These may be in specially designed double walled cardboard boxes, or plastic tubs.
- It is preferable to place the samples in a sealable plastic bag to prevent leakage.
- A commercial invoice with your Airwaybill
- A TSCA certification form
As with all international shipments, a commercial invoice needs to be filled out for customs purposes. Many countries require that the commercial invoice be on company letterhead. Check with your local requirements on the invoice format. Please see the attached example. Please note the description of samples as:
- Not regulated by IATA
- Non Toxic
- No commercial value
Shipping to the US may also require a TSCA (Toxic Substances Control Act) certification. Used oil samples fall under the NEGATIVE certification. Please see the example.
Thank you
